Final Paper Submission

This page provides instructions for submitting the IEEE Copyright Form in Easychair and checking the PDF file of your final paper using PDF eXpress if it complies with the IEEE Xplore format or not. Failing to submit the IEEE Copyright Form or failing to pass the PDF eXpress check, your paper will not be included in the IEEE Xplore Digital Library. Only after the PDFeXpress check, the PDF file of your final paper should be uploaded to Easychair.

Step 1: Submit the IEEE Copyright Form

Please log in to Easychair. On top of the web page, click “Alerts”, then click the last column under “View”. You can access and sign the IEEE Copyright Form.

Since IEEE is the copyright holder of all papers, all authors who intend to publish in the IEEE Xplore Digital Library are required to sign a transfer of Copyright Form to IEEE. The copyright details need to be added to the bottom of the first page of your source document before creating the final PDF.

Step 2: Check Your Paper Using IEEE PDF eXpress

All papers must be run through IEEE PDF eXpress.

Creating your PDF eXpress Account: Log in to the IEEE PDF eXpress TM site

First-time users should do the following:

  1. Click “Create account”
  2. Enter (1) 65076X for the Conference ID (2) your email address (3) a password
  3. Continue to enter information as prompted.

An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup (if you do not receive the email, please check your SPAM Folder). Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Step 3: Upload Your Final Paper and Copyright Transfer Number to Easychair

The IEEE Copyright form needs to be submitted via Easychair. The PDF file needs to be verified by IEEE. Once these are complete, you will receive a copyright transfer number. This number will need to be loaded in Easychair once you are ready to submit the final papers.

The final submission of camera-ready papers is due on April 11, 2025 (in Easychair > homepage > proceedings author (IEEE Proceedings) > view > upload new version).

Other Information

As IEEE BMSB 2025 has received many good submissions, the decision to defend them in an oral slot or as a poster will be made after submitting the final paper. A list of the oral/poster papers will be available on the IEEE BMSB 2025 website. In order to prepare a letter to enable you to apply for an Irish visa, please fill out the following form immediately:

Please fill in the relevant information about your relatives in the "Accompanying Family Members" field, if you want the invitation letter to include your family.

When filling the form, do not forget to add the Paper ID assigned on Easychair (if multiple papers submitted, separate IDs by commas; if not presenting any paper, insert 0).

In the meantime, please address the reviewers' comments and prepare the final manuscript. The deadline to submit your final manuscript is March 30, 2025 April 11, 2025 (hard deadline).

Each accepted paper (PDF file) must be accompanied with a conference registration fee. For authors of multiple papers, one main conference registration can cover up to two papers in the main conference. The second paper has a US$150 processing fee. The third paper needs to have a new registration. The final submission also needs to have a corresponding signed IEEE Copyright Form and be checked by IEEE PDF eXpress for compliance with the IEEE Xplore format. Instructions will be available at the conference website. Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper. Accepted and presented papers will be published in the IEEE BMSB 2025 conference proceedings and, after the conference, be transferred to IEEE Xplore for online publication.

Policies on no-shows and substitute presenters

IEEE BMSB 2025 will be held in Dublin, Ireland, between June 11-13, 2025. The event will be conducted in person, allowing attendees to fully benefit from the conference experience. At least one author of each accepted paper will be required to register for the conference and present the work. Accepted papers that are not presented at the conference will not be published in IEEE Xplore.

However, we understand that in some exceptional cases, some authors may encounter travel difficulties, such as obtaining Irish visas. In case none of the authors can obtain a visa, the authors will need to show evidence of the visa issues and identify a confirmed proxy presenter who will present the paper at the conference on behalf of the authors. Alternatively, there will be a virtual session which can also be attended as a last resource. Availing of such options will need to be approved in advance by the TPC or General Chairs.
