Slides and Videos Presentation Guidelines

Welcome to the IEEE BMSB 2025!

We are delighted to welcome you to the IEEE BMSB 2025, which will be held as a hybrid conference. To ensure a smooth and engaging experience for all attendees, please carefully review and adhere to the following guidelines for presentation preparation. Whether you plan to attend in-person or remotely, your contribution is highly valued. In-person participants are required to prepare presentation slides, while remote participants must prepare slides and upload videos of their presentations, both of which must adhere to the conference’s time and format constraints. Detailed guidelines are provided below, including instructions on how to record a presentation using PowerPoint. The process of uploading the required files is also specified.

1. Presentation Format Requirements

In-person participants need to prepare slides only, while remote participants need to prepare both slides and videos of their presentations. Slides and videos must be prepared in strict accordance with the following formats:

  • Screen ratio 16:9 or 4:3.
  • Video and slide files are both smaller than 200MB.
  • Video resolution does not exceed 720p.
  • Video format is MPEG-4 (.mp4).

2. For In-person Participants

In-person participants are required to prepare a 15-minute PPT/PPTX slide deck (No video is required). You should copy the presentation to the conference computer before the session start. Note you cannot use your personal laptop for the presentation, as there will be live streaming of the content and the settings are already fixed on the conference computer. Please use a USB device to store your presentation.

3. For Remote Participants

Remote participants are required to prepare a 15-minute slide deck and a video of their presentation and upload them before June 5th, 2025. Please follow the guidelines for preparing and uploading the slides and video.

3.1 Prepare Slides for Presentation

Before recording, ensure that your slides are complete and ready for recording. Check all descriptions for accuracy and make any necessary edits. Slides must have a page ratio of 16:9 or 4:3.

3.2 Prepare a Video from Your Slides

  • Step 1: Access the Record Tab
    Navigate to the "Slide Show" tab located at the top of the PowerPoint interface. Within this tab, you will find the "Record" button, which is typically represented by a red circle icon.
  • Step 2: Record Your Presentation
    Click on the "Record" button to initiate the recording process. PowerPoint will prompt you to choose whether you want to record from the beginning of the presentation or from the current slide. Select your preferred option and click "OK" to start recording. You can now present your slides, and PowerPoint will capture your narration and any animations or transitions you have set up.

  • Step 3: Manage Recording Options
    During the recording, you can use the toolbar that appears at the top of the screen to manage your recording. This toolbar includes options to pause, resume, and stop the recording. You can also add notes or a script to the teleprompter to help you deliver your message clearly.

  • Step 4: Stop and Review the Recording
    Once you have finished presenting, click the "Stop" button on the recording toolbar. PowerPoint will then process the recording. After processing, you can review the recording by clicking the "Replay" button to ensure it meets your expectations.
  • Step 5: Export the Recorded Presentation
    To export the recorded presentation as a video, go to the "File" tab and select "Export" from the drop-down menu.

  • Step 6: Configure Video Export Settings
    In the "Create Video" dialog box, you can configure various settings for your video export.

  • Step 7: Export the Video
    After configuring the settings, click the "Export" button to begin the export process. PowerPoint will convert your presentation into a video file and save it to the specified location.
  • Step 8: Verify the Exported Video
    Once the export is complete, locate the video file in the chosen directory and play it to verify that it meets your requirements.

3.3 Upload Slides and Video

Please send your slides and video files as attachments or shared links to the following email address: bmsb2025online@163.com. The requirements for email formatting are specified as follows:

File Submission Methods:

  • For participants in China, we accept files sent via email using “Oversized attachments” or shared links from “Ali Yun Pan”.
  • For international participants, we accept shared links from OneDrive or Google Drive only. Please upload your files to one of these platforms and include the shareable link in your email.

Poster Guidelines

11 papers were selected to be presented as posters. The poster session is designed to showcase emerging ideas, preliminary results and work-in-progress which offer valuable insights and innovations worthy of discussion within the community. Posters will be presented in an interactive format, allowing presenters to engage directly with attendees, receive feedback on their work, and establish potential collaborations. We strongly encourage all conference participants to attend the poster session and interact with presenters to foster a vibrant exchange of ideas and knowledge.

If your paper is listed in the poster session, the format is as follows:

  • A1 size (84.1 cm height × 59.4 cm width / 33.1 in height × 23.4 in width)
  • Resolution of at least 300 DPI for optimal print quality
  • Portrait orientation

Authors should include their names, affiliations, and contact information on their poster.

The poster session will take place on June 12th, 2025 starting at 16:00, Polaris Building, Room FTG Lobby. Please see the conference agenda for more details.
